AI Receptionist Pricing Plans Compared: What the Tiers Actually Buy You

AI receptionist pricing pages are designed to look simple and read complicated. Flat rates, minute bundles, per-call billing, per-minute billing, tiers, overages, add-ons: the headline number rarely tells you what you will actually pay. Here is what the plan structures mean and what each tier really buys.

The four pricing models

Most vendors use one of four structures. Flat rate: one monthly price, unlimited or generously capped calls. Per-call: a base price plus a fixed fee per answered call. Minute bundles: a bucket of minutes per month, with overage charges past it. Per-minute: pay for exactly what you use, no base. Flat is the easiest to budget. Per-call is fair if your calls are short. Minute bundles punish long calls. Per-minute is cheapest at tiny volumes and scariest at scale.

What the entry tier actually includes

Entry plans, usually $29 to $99 a month, cover a small business’s basics: answering, a custom greeting, message-taking, and call summaries. What they often exclude is the good stuff: calendar booking, CRM integrations, call transfers, and multiple languages tend to sit on the next tier up. Before you compare two $49 plans, check which one books appointments and which one just takes messages. The cheaper plan that cannot book is the more expensive plan.

What the mid tier adds

Mid-tier plans, roughly $100 to $250 a month, are where most growing businesses land. This is usually where native calendar and CRM integrations unlock, along with call transfers, custom workflows, and higher call or minute allowances. If you need the AI to actually book jobs rather than log inquiries, this is the tier to budget for. It is also where multi-user access and longer recording retention typically appear.

What the top tier is for

Top tiers, $250 to $500 a month, target multi-location businesses and high-volume operations: multiple phone numbers, location-level reporting, advanced routing, priority support, and compliance features like HIPAA-ready configurations. A single-location shop rarely needs this. If a vendor’s sales rep pushes you here for one location and 100 calls a month, push back.

The overage trap

Overages are where bills double. A $99 plan with a 100-minute bucket and $0.60-a-minute overage becomes $159 the month you hit 200 minutes. Always calculate your cost at 1.5 times your current volume, not at your current volume. Businesses grow, seasons spike, and the plan that fits October will not fit December. Flat-rate plans exist precisely to remove this anxiety; if your volume is spiky, they are usually worth the premium.

Add-ons to watch

Common add-ons: extra phone numbers, additional minutes or calls, SMS follow-up, advanced integrations, and white-label or multi-brand setups. Some vendors bundle SMS and call recording into every plan; others charge per message. When comparing two vendors, build the full stack for your business: base plan plus the add-ons you actually need. Two plans that look $50 apart can land $150 apart once configured.

How to compare plans in one sitting

Write down your last three months of call volume, then price each vendor at that volume plus 50 percent, with booking and your CRM integration included. That number is the real price. Ignore the headline. The vendors that look cheapest at the headline and most expensive at your real volume are counting on you not doing this math. For the human-service side of the comparison, our guide to answering service pricing models shows how per-call and per-minute billing work there.
