AI Receptionist for Franchises and Multi-Location Businesses

Running phone coverage across five, fifteen, or fifty locations is a different problem from covering one. Each store has its own number, its own hours, its own staff, and its own manager who will forget to update the voicemail. An AI receptionist built for a single business will technically work across many, but you will end up managing them like separate accounts. Here is what multi-location setups actually need.

One account, separate numbers per location

The non-negotiable: each location keeps its own local phone number, and all numbers live under one account. A caller dialing the Austin store hears an Austin greeting. A caller dialing Dallas hears Dallas. Behind the scenes, one dashboard controls all of them.

Why this matters more than it sounds: when every location shares one number, you lose location-level attribution. You cannot tell which store a lead called, which location is missing calls, or where the after-hours volume is coming from. Separate numbers give you clean data per store. A master script with location variables

Every location should run the same core call flow: greeting, name and callback number, service needed, urgency, preferred time. The differences are variables, not different scripts. The Austin greeting says Austin. The booking rules reflect Austin’s hours and Austin’s technicians.

This is where AI receptionists beat human coverage for franchises. A human team across locations drifts off script within weeks. Someone in one store promises a discount that does not exist. Someone in another forgets to ask for the callback number. An AI running one master script answers identically at every location, every time, and updates roll out everywhere at once. Location-specific routing and hours

Each location has its own schedule, its own manager, and its own on-call list. The AI needs to know that a call to the Denver store at 7pm goes to the Denver manager’s cell, not to a central line that rings nobody.

Set up per-location business hours, holiday schedules, and transfer rules. The common mistake is configuring one set of hours for the whole account and discovering that the Arizona store, which closes an hour earlier, has been promising same-day appointments it cannot keep. Central reporting with per-location breakdowns

This is the part franchise owners actually care about. You want a dashboard that shows call volume, missed-call capture, and bookings by location, side by side. Which stores are getting the most after-hours calls? Which ones have the AI transferring the most often, suggesting the script needs work? Which locations are booking the most appointments per call?

Call recordings and transcripts per location also double as quality control. You can hear how the brand sounds at a store you have never visited. For franchise systems with brand standards, this is more useful than a mystery shopper program and far cheaper.

Billing that fits franchise structures

Franchise billing gets complicated because the money flows in different directions. Some franchisors pay centrally and recharge franchisees. Some franchisees pay for their own services. Some split costs by call volume.

Ask your provider how billing works across locations. Can you see usage per number so you can recharge accurately? Can one account hold separate billing profiles? Per-minute plans make recharge math easy because the cost follows the usage. Flat-rate per-location plans are simpler to budget. Either works as long as the reporting supports it.

Franchisee buy-in

The technical setup is the easy part. The hard part is franchisees who hear “AI receptionist” and picture a robot losing their customers. This is a real concern and worth addressing directly rather than rolling out top-down.

What works: pilot at two or three locations first, then share the numbers. Show the other franchisees the after-hours calls that got captured, the appointments booked, and the recordings so they can hear the quality. Let a skeptical franchisee listen to a real call before their location goes live. In our experience, one good recording does more than a month of corporate memos.

What to look for in a provider

Not every AI receptionist handles multi-location well. The checklist: multiple numbers under one account, per-location greetings and hours, a shared script with location variables, per-location transfer routing, usage reporting by location, and billing that lets you allocate costs. If a provider treats each location as a separate account with separate logins, you will spend your time doing admin instead of running the business.

Multi-location phone coverage used to mean a call center contract or hiring a receptionist per store. Neither scales gracefully past a handful of locations.
