Per-minute billing is the most common way AI receptionists charge, and the hardest to predict. The plan says $49 a month. Your actual bill depends on how the provider defines a minute, how long your calls run, and what happens when you go over. Here is how to estimate your real monthly cost before you commit.

Learn the provider’s definition of a minute

Not all minutes are equal. Some providers bill only for connected talk time. Others bill from the moment the call connects, including ringing and hold time. Some include the AI’s wrap-up processing after the caller hangs up. A few count blocked spam calls against your total.

Ask for the definition in plain terms before you sign up. Then adjust your estimate. If your calls average three minutes of conversation but the provider bills five minutes per call including setup and wrap-up, your minute consumption is two-thirds higher than the talk time suggests. This one detail is responsible for most billing surprises.

Estimate your monthly minutes

The formula is simple: monthly calls times average billed minutes per call. Getting honest inputs takes a little work.

For monthly calls, use your phone records, not your memory. Count inbound calls over the last three months and average them. Include the calls you missed, because the AI will answer those too, and they count. If your business is seasonal, use your busy-season average for planning, not the yearly average.

For average call length, three minutes is a reasonable starting point for most small businesses, but yours may differ. Appointment-heavy businesses run longer. Quick intake calls run shorter. If the provider offers call recordings or logs during a trial, measure a sample of real calls and use that.

Multiply, then add a buffer of 20 to 30 percent. Call volume grows, ad campaigns spike, and a quiet month is not a promise. The buffer keeps a normal busy month from turning into an overage month.

Price your volume against the tiers

Take your estimated minutes and find where they land. A 60-minute bundle at $29 looks cheap until your 200 minutes of real usage pushes you into overage. Price each tier at your estimated volume, not at the bundle size. The tier whose included minutes cover your estimate with buffer is your real price. Everything below it is a smaller number attached to a bigger bill.

Watch the overage rate specifically. Overage is usually priced above the bundle’s effective per-minute rate, and it applies to exactly the months when you can least afford surprises. A provider with gentle overage is worth more than a provider with a cheap headline plan and punishing overage.

Compare against flat rate at your volume

Once you have your estimated per-minute cost, compare it to flat-rate unlimited plans, which typically run around $199 a month. The crossover point for most businesses lands somewhere around 150 to 200 calls a month: below that, per-minute is usually cheaper; above it, flat rate often wins. Your exact crossover depends on your call length and the per-minute rate, so run it with your numbers.

Revisit after 90 days

Your estimate is a starting point. After three months on the service, pull the actual minute usage from your dashboard and compare it to the estimate. If you are consistently under your bundle, consider dropping a tier. If overage is a monthly event, move up or switch to flat rate.
