Local or toll-free: picking the right phone number for your AI receptionist

One of the first decisions in any AI receptionist setup is the phone number itself. Should the AI answer on a local number with your area code, or a toll-free number? Should you get a brand-new number, or use the one you have? The number shapes how callers perceive your business before anyone says a word, and it affects everything from answer rates to texting capability.

This guide walks through the tradeoffs so you can pick the right number with confidence, instead of discovering the downsides six months in.

What a local number signals

A local number says you are nearby. For service businesses, contractors, clinics, and anyone whose customers choose based on proximity, that matters. Callers in your area code recognize a local number instantly, and they answer local numbers more readily than unfamiliar ones. If your business serves a defined metro area, a local number is usually the right call.

Local numbers also help with callback behavior. When the AI misses a call and the system sends a text follow-up, that text arrives from a local number, which reads as a neighbor checking in rather than a company blasting messages. For businesses where the relationship feels personal, that tone difference is real.

The limitation is geography. A local number with one area code looks out of place if you serve three metro areas, and it can confuse callers who assume you only work in the number’s city. Multi-area businesses sometimes run one local number per market, which works but multiplies the numbers you manage.

What a toll-free number signals

A toll-free number says you are established and reachable from anywhere. For businesses that serve customers across states, take orders nationally, or want a single memorable number for advertising, toll-free is the standard choice. It removes any hesitation about long-distance charges, which still matters to some callers, especially older ones.

Toll-free numbers also work better for national advertising. A single 800 number on a billboard, a radio ad, or a YouTube spot is cleaner than a local number that half your audience does not recognize. If your marketing reaches beyond one area code, toll-free keeps the call to action simple.

The tradeoff is warmth. A toll-free number feels corporate next to a local one. For a neighborhood plumber or a family dental practice, that corporate feel can work against the local trust the business depends on. Toll-free numbers also get less favorable treatment in some spam-filtering systems, because scammers love toll-free numbers, so legitimate toll-free callers occasionally get flagged.

New number versus your existing number

Separate from local versus toll-free is the question of whether to use a new number at all. Keeping your existing business number preserves everything you have built: the number on your trucks, your Google profile, your business cards, your customers’ contact lists. Most AI receptionist setups forward your existing number to the AI, so callers notice no change.

A new dedicated number gives you cleaner separation and tracking. Calls to the new number are all AI-handled, which makes reporting simple, and you can phase it in gradually: put the new number on new marketing while the old number keeps its existing routing. The downside is the transition period where two numbers exist, which confuses some callers and splits your call history.

For most established businesses, the answer is to keep the existing number and forward it. The continuity is worth more than the tracking convenience. New businesses, or businesses launching a new line of service, can start fresh with a dedicated number and avoid the transition entirely.

Texting capability and number choice

If your AI receptionist sends confirmation texts, appointment reminders, or missed-call follow-ups, the number needs SMS capability. Most VoIP numbers support SMS, but the details vary. Toll-free numbers require a verification process before they can send texts, which takes time and involves registering your business use case. Local numbers can usually text immediately.

This matters for timeline planning. If you choose toll-free and plan to text customers, start the verification process early, because it can take days to weeks. Without verified toll-free messaging, your texts may get filtered by carriers, which means confirmations and reminders silently fail. That is a bad surprise to discover after launch.

Also confirm that the number supports two-way texting if your setup needs it. Some numbers can send texts but cannot receive replies, which breaks any workflow where the customer is supposed to text back a confirmation.

Making the decision

Local business serving one metro area: local number, preferably your existing one. Multi-market or national business: toll-free, with the verification timeline planned in. Business that depends on texting from day one: local number for speed, or start toll-free verification immediately. Business launching something new: dedicated number for clean tracking.

Whichever you choose, the number is only the front door. What happens after the caller dials is the setup work this whole series covers. If you are bringing an existing number over, read how to port your business number for the mechanics. If you are starting fresh, the onboarding checklist walks through everything else the number needs behind it, and the voicemail replacement guide covers what happens to the old voicemail box the number used to reach.
