Webhooks explained: how call data flows from your AI receptionist to your tools

Ask a vendor how their AI receptionist connects to your tools and you will hear the word “webhook” within a minute. It sounds technical. It is not, really. A webhook is just an automatic message your phone system sends to your other software when something happens.

A call ends. The phone system packages up what happened, caller, time, outcome, summary, and posts it to an address you gave it. Your other software receives it and does something useful. That is the whole idea.

What actually travels in a webhook

A call webhook typically carries the practical facts: when the call happened and how long it lasted, the caller’s number and name if known, what the call was about, how it ended, and any structured details the AI collected, like an appointment time or a callback request. Some systems also send events during the call, when it starts or when it gets transferred, but the end-of-call event is the one most businesses build on.

Think of it as the raw material. The webhook does not decide anything. It just delivers the facts, quickly and reliably, to whatever you point it at. The decisions happen in the receiving end.

What you point it at

The most common destination is an automation tool. Zapier and Make both accept webhooks and turn them into multi-step workflows: log the call, update the CRM, notify the team. If you already use the Zapier pattern for call data, you are already using webhooks, whether you knew the name or not.

The other common destination is your own software. If you have a developer, a webhook endpoint is a small thing to build, and it gives you complete control: custom matching against your customer database, custom routing, custom everything. Businesses with in-house technical help often end up here eventually, because no generic integration matches a process they designed themselves.

A third option people overlook: a simple spreadsheet or database as the destination. Every call becomes a row. It is not glamorous, but it is searchable, it never goes down, and it is the cheapest backup of your call history you will ever have.

Setting one up without a headache

Get a test event first. Every webhook system lets you send a sample, and you should inspect it before building anything. The field names will surprise you. Build the receiving workflow with the real sample data, not the documentation’s idealized version.

Handle failures. Webhooks occasionally fail to deliver, and your workflow should know what to do when one goes missing: retry, alert someone, or at minimum log the gap. A call-data pipeline that fails silently is worse than no pipeline, because you trust it.

Keep a list of what listens to your webhooks. Six months from now, when you change phone systems or rename a field, you will need to know every workflow that depends on the old shape. Documentation takes ten minutes and saves a very bad day.

Why this matters more than any single integration

Native integrations come and go. Vendors add them, deprecate them, change their pricing. Webhooks are the stable layer underneath. As long as your phone system can push call events out, you can connect it to anything, now or later, without waiting for anyone’s roadmap.

When you evaluate an AI receptionist, ask about webhooks early. Not because you will build on them on day one, but because they are the difference between a closed box and a system that grows with your business. The vendors worth keeping are the ones happy to show you the door out.

I write the agents that run on clinic phone lines and inboxes: the conversation engine and the booking logic behind them, plus the integrations with Pabau, Fresha and Phorest. Everything here comes out of systems we have actually shipped, not a content plan.
