AI Receptionist Setup and Onboarding Fees: What You’ll Actually Pay in 2026

AI Receptionist Setup and Onboarding Fees: What You’ll Actually Pay in 2026

Most vendors charge nothing. Some charge a lot.

Setup and onboarding fees are the most inconsistent line item in AI receptionist pricing. Most self-serve AI vendors charge zero: you sign up, record a greeting, connect your calendar, and you are live the same day. But the moment a human touches your setup, a fee can appear, and it ranges from fifty dollars to a few thousand. Here is where the fees hide and what is actually worth paying for.

What “setup” usually means

Vendor setup typically covers account configuration, greeting and script writing, call-flow design, calendar and CRM connections, and a test-call round before go-live. On self-serve platforms this is a guided wizard you do yourself in under an hour. On white-glove onboarding, the vendor’s team does it with you: one AI receptionist launch in 2026 advertised free white-glove onboarding where staff personally configured agents, integrated calendars, and uploaded business documents. Same outcome, very different effort on your side.

Where fees actually show up

Traditional answering services are the main source of setup fees. AnswerConnect lists a $49.99 setup fee on some plans. Agency-style and done-for-you AI deployments are the other: one UK provider’s AI receptionist setup starts from £2,000 one-off for script development, testing, calendar integration, and call summaries, with monthly care from £99 on top. That is not a scam; it is a different product, closer to hiring a consultant than subscribing to software. The red flag is the middle ground: a vendor charging a few hundred dollars in setup for what is clearly a self-serve wizard. If the onboarding is a form and a 20-minute call, the setup fee is margin, and you should ask for it waived.

What good onboarding includes whether you pay or not

Paid or free, insist on the same checklist. A greeting recorded or tuned in your brand voice, not a stock voice reading your business name. Call routing rules for business hours, after hours, and holidays. At least one real integration tested end to end, usually your calendar, with a test booking you can see. A round of test calls covering your five most common caller questions. And a written summary of what was configured, so you are not reverse-engineering your own phone system in six months. Our onboarding checklist covers the full setup sequence.

Questions to ask before you pay any setup fee

What exactly does the fee cover, in writing? Is it waived on annual billing? If I cancel in the first 90 days, is any of it refunded? Who owns the call flows and scripts if I leave, and can I export them? Do I get the same onboarding free if I do it myself, and what would I miss? Vendors with genuinely valuable onboarding answer these precisely; vendors padding margin get vague. Ruby, for reference, states there are no additional or hidden fees for activation, onboarding, setup, or customization on its plans, which is the standard you should hold others to.

The bottom line

Budget zero for setup with self-serve AI vendors, $50 to $150 with traditional answering services, and four figures only when you are buying genuine done-for-you work: custom script development, multi-system integration, and testing. Anything in between deserves a question. And whatever you pay, the setup is only as good as your test calls, so run our test-call QA script before you declare the launch done.

I write the agents that run on clinic phone lines and inboxes: the conversation engine and the booking logic behind them, plus the integrations with Pabau, Fresha and Phorest. Everything here comes out of systems we have actually shipped, not a content plan.
