Buying an AI Receptionist for a Second Location: What Changes When One Shop Becomes Two

The second location is where phone habits built for one shop start to creak. Callers ask for the other site. Staff cover for each other. Hours differ by a day here and there. If your AI receptionist was set up for a single location, opening day is the wrong time to discover what it cannot do.

This guide is for owners planning that step, whether you already run an AI receptionist at site one or are buying for both sites at once.

Decide the number strategy early

You have three broad options: one number that asks callers which location they need, a separate number for each site, or local numbers for both that ring into one system. Separate numbers keep advertising and listings simple, since each location keeps its own number on its profiles and signage. A single number is cheaper to promote but adds a question to every call.

Whichever you choose, settle it before printing anything. Our guide on forwarding versus porting your business number covers the mechanics of moving numbers without downtime, which matters when site one keeps trading through the change.

Routing rules multiply, so write them down

At one location, routing is simple: bookings go to the diary, urgent calls go to the owner, everything else becomes a message. At two locations, every rule needs a site attached. Which diary. Which owner. Which team gets the after hours call on a Sunday, when site two is closed and site one is open.

Write the rules as a table with location as the first column. Vendors configure faster from a table than from a conversation, and you will spot the gaps yourself: holiday hours that differ, a service only offered at one site, a staff member who works at both and should only get calls for one at a time.

Pricing changes with the second site

Ask how the vendor charges for location two. Models vary: a second full subscription, a smaller location fee plus shared usage, or usage only. Shared usage sounds simple and can surprise you if the busier site eats the quieter site’s included minutes. Ask for the two sites itemised on one bill, so you can see the cost of the phones per location alongside rent and staffing.

Read the quote the way our pricing models guide suggests, using your busiest month at both sites, not the opening month when site two is still quiet.

Keep one brain, allow local differences

The best two site setups share most of their setup: the same greeting style, the same intake questions, the same transfer rules. Local differences sit in a short list on top: hours, services, prices that vary, and the names of staff at each site. Ask the vendor how changes propagate. Updating a price should not mean editing two separate systems by hand and hoping you remembered both.

Plan the first fortnight

For the first two weeks, review call summaries from site two daily. New locations attract confused callers: people who wanted site one, people checking whether you are open, people asking for services you have not launched there yet. Each confused call is a routing or greeting fix. The onboarding checklist you used at site one works again here, shortened, because most of it is already built. The owners who treat site two’s phones as a fresh launch, rather than an afterthought, are the ones whose reviews mention how easy the new place was to reach.
