Open House Calls: How Real Estate Offices Use an AI Receptionist for Weekend Enquiries
Open house day is when a real estate office is hardest to reach by phone. Agents are at the property, the office is thinly staffed, and callers want simple things: the time, the address, whether they can come late, where to park. An AI receptionist can answer those calls from the event details you feed it, and capture the callers who want a private showing instead.
Feed the system event details, not listing hype
For each open house, load the address, the start and end times, parking or entry notes, and the agent hosting it. Add a short list of property facts the system may state, drawn from the listing, and a clear rule that price negotiations and offer questions go to the agent. Callers test that boundary, especially near the end of an event.
If a caller cannot make the event, the system should offer a showing appointment and capture a phone number and email for the agent. That fallback is where the weekend pays off. The wider office setup in showings, listing calls, and lead follow up covers how those captured leads should be handed over.
After the event, the calls change
On Monday, callers ask whether the property is still available and what happens next. Update the system’s answers when an event ends, or callers will keep hearing last weekend’s details. Assign that update to a named person on the event checklist, alongside sign removal and lock up.
Solo agents get a version of the same problem, covered in weekend call coverage for solo agents. Offices with several agents need the extra step of routing follow ups to the hosting agent rather than to a shared pool, unless the caller asks for someone else.
Measure the weekend properly
On Monday, review how many calls were answered, how many became showing requests, and whether any caller got outdated information. Listen to two or three full calls. Open house callers speak quickly and from cars, so they are a fair test of how the system handles noise and short questions.
