AI Receptionist for Multi-Attorney Firms: Separate Calendars, One Phone Number

A firm with four attorneys has four calendars, four sets of preferences, and usually one main phone number. One attorney takes new consults on two days a week. Another wants existing clients put through and new enquiries screened. An AI receptionist can hold those rules in one place, if someone takes the time to write them down clearly during setup.

Map callers to attorneys before you map calendars

Start with who should get which caller. Existing clients go to their attorney of record. New enquiries go by practice area, then by availability, then by whatever rotation the partners have agreed. Write the order down. When two rules point to different people, the written order decides, and the system should log which rule it used.

Calendar access needs the same care. The system should see free and busy times without exposing one attorney’s client names to another’s callers. Our guide to syncing intake with Clio and MyCase covers how booking data should land in the systems your firm already uses.

Direct numbers and the main line should agree

Many firms give each attorney a direct number and keep a main line for new callers. If the direct number rolls to the AI after hours, the greeting and rules should match that attorney’s setup, while the main line follows the firm rules. Callers notice when the same firm sounds like two different offices depending on which number they dialed.

Escalation still matters at firm level. The rules in law firm routing and escalation apply across attorneys, with the on call duty usually rotating. Make sure the rotation lives in one place that a staff member can update when someone trades a week.

Test the awkward cases

Have a test caller ask for an attorney who is on leave, then ask for a specific time that attorney cannot do, then change to a new enquiry in a different practice area mid call. Watch where the booking lands. Multi attorney setups fail on transitions between rules, so test transitions rather than single clean calls.

I write the agents that run on clinic phone lines and inboxes: the conversation engine and the booking logic behind them, plus the integrations with Pabau, Fresha and Phorest. Everything here comes out of systems we have actually shipped, not a content plan.
