The intake script is the whole product

An AI receptionist for a law firm is only as good as its intake script. The technology answers the phone; the script decides what happens next. Get the script right and every call becomes a qualified matter with a booked consultation. Get it wrong and you have a polite machine collecting useless information. This is the part of onboarding that deserves the most attention.

Start with your current intake form

Most firms already have an intake process, even if it lives in someone’s head. Write down the questions your best intake person asks on a first call. That list is your script’s first draft. It usually looks like this: caller name and callback number, matter type, a short description of what happened, when it happened, names of all parties involved for the conflict check, and how urgent it is. Anything beyond that can usually wait for the consultation.

Customize by practice area

One script for the whole firm is a mistake if you practice in multiple areas. A personal injury caller needs questions about the accident and injuries. A family law caller needs different questions entirely. Set up separate intake paths per practice area and route callers by their matter type. The AI should ask a personal injury caller different questions than an estate planning caller, because your attorneys would.

Build the guardrails in, not on

The script needs rules about what the AI will not do. It will not give legal advice, assess cases, quote fees, or confirm representation. These are not afterthoughts; they are part of the script. The intake should include a clear statement that the firm has not agreed to represent the caller, delivered naturally in the conversation. Urgent matters should route to a human immediately instead of going through the full question list.

Test it like a mystery shopper

Before the system goes live, call it yourself. Call as a confused prospective client. Call as someone with an urgent matter. Call as a Spanish speaker if you serve that community. Listen to what it asks, what it says, and where it sounds wrong. Then fix those spots. A good provider will run this testing with you and adjust the script based on what they hear.
