Deadline Triage: How an AI Receptionist Flags Urgent Law Firm Calls
Most law firm calls can wait for a morning callback. A small number cannot. A caller whose court date is tomorrow, whose response deadline falls this week, or who has just been served with papers needs a person today. Deadline triage is the part of an AI receptionist setup that sorts those callers out from routine enquiries and moves them up the queue.
Build your trigger list with your attorneys
Sit down with the lawyers who take these calls and write down the phrases real callers use. People rarely say the legal term. They say their date is Friday, they got papers at work, or a letter says they have a set number of days to respond. Your trigger list should use caller language, and it should be reviewed after the first month of live calls.
Each trigger needs a destination. Some go to an on call attorney. Some go to a paralegal who can check a file. Others get a same day callback promise with a time attached. A trigger with no owner is just a note in a log, and nobody reads logs at 6 p.m.
How this fits with routing you already have
Triage sits on top of normal routing. The routing guide on law firm call routing and escalation rules covers who gets which call type. Deadline triage adds urgency inside those types, so an existing client with a date this week outranks a new enquiry with no date at all.
Keep the conflict check in the flow. The piece on conflict check intake scripts explains why a few early questions protect the firm. An urgent call still needs those questions, just asked in an order that gets the deadline recorded first.
Testing triage without risking a real caller
Script six test calls: two urgent, two routine, and two that sound urgent but are not, such as a caller worried about a date months away. Check the timestamps on alerts, listen to whether the system told the caller a realistic callback time, and confirm the routine calls were not escalated. Repeat the test after any script change. Triage rules drift when people edit scripts one fix at a time.
