AI Receptionist for Hotels and B&Bs: Direct Bookings, Cancellations, and Late-Night Guest Questions

The booking you lose at midnight

A traveler lands late, searches for a place near the venue, and calls your inn at 11:40 pm. Nobody answers, because your front desk closed at nine. They book the chain hotel down the road, the one with a call center. Independent hotels and B&Bs lose this exact booking every week. An AI receptionist answers at 11:40 pm, checks availability, quotes the rate, and takes the reservation into your booking system before the traveler hangs up.

Direct bookings are the whole game

Every reservation that comes through an online travel agency costs you commission. A phone call is a direct booking waiting to happen, if someone picks up. The AI should be wired into your property management or booking engine so it can check real availability, quote your direct rate, explain the difference between room types in plain language, and confirm the booking with a text summary. It can also mention the small things that win direct bookings: free parking, breakfast included, a later checkout than the OTAs advertise. Those details are usually what tip a caller.

Cancellations and modifications deserve the same attention. Guests call to move dates, add a night, or ask about your cancellation policy, and a confusing answer turns into a chargeback or a bad review. The AI follows your written policy exactly, processes date changes inside your rules, and routes anything outside the rules to you with the details captured. No improvising on refunds.

Late-night guest questions

Not every after-hours call is a booking. Guests ask about check-in times, early arrival, parking, Wi-Fi, breakfast hours, pet policies, and whether the hot tub is working. A B&B owner should not be fielding those at midnight. The AI answers from your property facts, and for anything it cannot answer, it takes a message with the room number and a callback time. It can also triage genuine emergencies, a lockout or a water leak, by calling or texting whoever is on duty. If you run a boutique property with more complex operations, our guide for boutique hotels and B&Bs covers the after-hours reservation angle in more depth.

What to verify before you buy

Integration with your booking system is the first question. If the AI cannot see real availability, it is just a message taker, and message takers do not win midnight bookings. Ask how it quotes rates: does it pull your live rates and seasonal pricing, or does it read from a static sheet you have to update? Ask about multi-night and package logic, since B&Bs sell romance packages and midweek specials, not just room nights. Ask how it handles overbooking edge cases and what it says when you are full; a good answer offers the waitlist or the next available date instead of a dead end.

Also ask about the voice. Guests calling a B&B expect warmth, and a robotic greeting undoes the charm you sell. Listen to a demo call before you commit, and run your own test calls with the oddball questions guests actually ask. The revenue math is worth doing too: our piece on measuring the after-hours revenue lift from AI answering shows how to track whether the system is paying for itself.

Setup that respects a small property

You do not have an IT department, so setup needs to be simple. Enter your room types, rates, seasons, and blackout dates. Write your cancellation and check-in policies as plain rules. Connect the booking engine. Record the on-duty contact for emergencies. Then teach it your business hours and holidays so it knows when the front desk is staffed and when it is flying solo; the business hours and holiday setup guide covers exactly this. One afternoon of setup, and the phone stops being a liability after nine.

What the AI should never do

It should never quote a rate you did not approve, never promise a room type you cannot deliver, and never argue with a guest about a charge. Those go to a human, every time. Within those guardrails, it can take the midnight booking, answer the parking question, and log the maintenance request, which is most of what the phone asks of a small property.
