AI receptionist for home services: seasonal tune up campaigns handled by phone

Seasonal campaigns fail at the phones, not the offer

A tune up special or a pre season inspection offer usually works. The mailing lands, the email goes out, and calls arrive in a bunch, often while your techs and dispatcher are already busy with breakdown work. Callers who reach a busy signal do not assume you are popular. They assume you are hard to reach, and they book with someone else.

An AI receptionist can carry a seasonal campaign as its own workflow. It knows the offer wording you approved, the dates and areas it applies to, and the visit windows you set aside for campaign bookings. It answers the surge without pulling your dispatcher off repair calls.

See our overview of AI answering for home services for the base setup, then treat each campaign as a short, well briefed season.

Brief the system like a temporary team member

Write the campaign brief in plain language. What the service includes, what it does not include, who qualifies, and what happens if the tech finds a problem during the visit. Give exact answers for the questions every campaign produces, such as whether the offer covers a second system or a rental property.

Decide how campaign bookings mix with repair work. Many shops reserve certain windows for tune ups so a successful campaign does not push breakdown callers into next week. Put that rule in the schedule, not in a note the system has to interpret.

Calls that turn into repair work

A tune up visit often surfaces a repair conversation later, but the phone call itself should stay simple. If a caller booking a tune up mentions a symptom, the system should note it on the visit and, under your rules, either keep the tune up booking or convert it to a diagnostic visit with the caller agreement.

That note matters. A tech who arrives knowing the unit also makes a noise the caller mentioned will handle the visit differently from one reading a bare tune up booking.

After the campaign ends

Offers expire and scripts must expire with them. Set an end date for the campaign workflow, check that the old wording is gone, and review which questions callers asked most. Those questions tell you what next season mailing needs to explain better.

Campaign data also feeds your wider planning. Our piece on peak season overflow calls for home services looks at how surges build across a season, and a campaign adds a surge you chose on top of the weather.

Vendor questions for campaign work

Ask how quickly you can update an offer, a date range, or a service area in the system, and whether you can do it yourself. Ask to see a campaign call summary and check that the offer source is recorded, so you know which mailing produced which bookings.

Judge the result by bookings kept and boards filled, using the simple approach in our home services ROI page.
