AI Receptionist for Food Trucks: Private Hire Bookings and Location Questions

The truck is moving; the phone should not have to wait

Food truck owners work the window, drive the truck, prep the food, and somehow also answer the phone. The calls that matter most, private hire and catering gigs, arrive while you are mid-service with a line of customers. An AI receptionist answers every call, captures the gig inquiry with its details intact, and keeps the “where are you today” questions off your line during the lunch rush.

Private hire is the revenue call

A company wants your truck for a hundred-person office lunch. A couple wants it at their wedding. A festival organizer wants three trucks for a weekend. These are the highest-value calls a food truck gets, and they need structured intake: date, location, headcount, service window, budget, and power and setup requirements. The AI collects all of it, checks your event calendar for conflicts, quotes your published minimums, and schedules a callback with you for the custom details. It should never promise a date you have not confirmed; the calendar check is the whole point.

Recurring gigs deserve their own handling. Office parks, breweries, and apartment complexes that book you weekly or monthly are your steadiest income. The AI should recognize the pattern, confirm the recurring details against your standing schedule, and route changes to you directly. Losing a weekly spot to a missed call is the kind of quiet revenue leak this system exists to stop.

Location questions and the daily update

“Where are you today?” is the most common food truck call and the least valuable one to answer personally. The AI should pull your daily location from a schedule you update each morning and answer with the spot, the hours, and parking notes. Same for the menu question: today’s specials, sold-out items, and whether you take cards. These are two-minute updates in the morning that save you twenty interruptions at lunch. If you are still running the business from your personal cell, the comparison with running everything on your cell phone shows what changes when the phone gets its own system.

What to ask before you buy

Can it check your event calendar for date conflicts on private hire inquiries? Can you update the daily location and specials yourself in under a minute, from your phone? How does it handle the catering-style intake: does it capture power, setup, and headcount, or just take a message? What does it do with calls during service hours versus off hours? And can it text callers your location link automatically? Run a demo call as a festival organizer with a complicated multi-day request. The details it captures, or drops, tell you what you are buying.

Setup for a one-person operation

Keep it simple. Load your service area, your private-hire minimums, and your event calendar. Write the daily location update into your morning routine; it takes less time than posting to social media and reaches the people who actually call. Define your catering lead time as a hard rule. Train the fifteen FAQs you hear every week using the FAQ training guide. Then test it during a real lunch rush from a friend’s phone. If the “where are you” call gets a clean answer and the gig inquiry lands in your inbox with every detail, it is doing its job.

What stays with you

You still close the gig, you still drive the truck, and you still decide which events are worth your weekend. The AI just makes sure the inquiry arrives complete, the location questions answer themselves, and no private hire goes to voicemail while you are serving the lunch line. If you already use missed-call texting, keep it; the AI and the missed-call text-back approach cover different gaps and work well together.
