AI Receptionist for Financial Advisors: Booking Discovery Calls Without Giving Advice on the Phone

A prospect usually calls a financial advisor after something has happened. A parent has died and left money behind. A business has been sold. Retirement has moved from abstract to twelve months away. These callers are not browsing. They want to know whether you are the right person to talk to, and they want a meeting in the diary. If the call goes unanswered twice, most advisors never hear from that prospect again. An AI receptionist can answer, sound composed, and book the discovery call. Its limits need to be drawn carefully.

The compliance line on every call

The system books meetings and answers factual questions about your firm, such as where you are based and what a first meeting involves. It must not comment on investments, pensions, tax treatment, or whether a prospect’s plan sounds sensible. Write those refusals into the script in friendly language. Something like: that is exactly the kind of question your first meeting covers, and the advisor will go through it properly with you. Test the system with a caller who pushes hard for a quick opinion. It should hold the line without sounding evasive.

Collect only what the meeting needs. Name, contact details, a broad reason for getting in touch, and whether the caller wants to meet in person or by video. Do not ask for portfolio values, account numbers, or login details of any kind. Flag summaries where a caller mentioned a deadline, such as a tax year end or a house completion, so an advisor can judge urgency.

Questions to ask a vendor

Ask how call recordings are stored and who can access them, and ask for the vendor’s data handling terms in writing. Ask whether you can approve the full script, including every answer to common questions, before launch. Ask how the system handles a caller who says they are an existing client with an urgent problem. That call should reach a person or trigger an immediate alert, never a booking form. Our guide to booking consultations with an AI receptionist covers calendar rules that prevent double booking and awkward overlaps.

Making the first meeting feel prepared

Send the AI summary to the advisor before the discovery call with the prospect’s stated reason at the top. Advisors who walk in knowing the trigger event run better first meetings. Keep a short list of phrases the system should never use, review it after the first month of calls, and add anything that made you wince. The technology is the easy part of this purchase. The script is the product.

I write the agents that run on clinic phone lines and inboxes: the conversation engine and the booking logic behind them, plus the integrations with Pabau, Fresha and Phorest. Everything here comes out of systems we have actually shipped, not a content plan.
