AI Receptionist Buyer’s Feature Checklist: 25 Checks Before You Sign
Every AI receptionist vendor claims to answer calls, book appointments, and delight your customers. The marketing pages all sound the same, which is why buyers need a checklist that cuts through it. These 25 checks cover what actually differs between vendors. Run through them on every demo and you will spot the gaps before they cost you.
Answering quality
- Does it answer on the first ring, every time, including during call spikes? Ask what happens when ten people call at once.
- How natural does the voice sound on a real phone call, not the polished demo? Request a live test call to your own number.
- Can it handle interruptions, when a caller talks over it or corrects themselves mid-sentence?
- Does it understand accents and background noise, or does it fall apart outside a quiet room?
- What happens when it does not understand? Listen for a graceful handoff, not a loop of “I did not catch that.”
Booking and calendar
- Does it book directly into your real calendar, Google, Outlook, or whatever you use, not a separate dashboard you have to check?
- Can it reschedule and cancel, or only create new appointments?
- Does it check for conflicts and respect your buffers, travel time, and working hours?
- Can it take the details your business actually needs at booking: service type, address, vehicle info, party size?
- Does it send confirmations and reminders to reduce no-shows?
Call handling smarts
- Can it route by rules you define: new versus existing customers, urgent versus routine, sales versus support?
- Does it warm-transfer with context, telling your team who is calling and why before connecting?
- Can it take a structured message and deliver it where you will actually see it: text, email, or your CRM?
- Does it screen spam and robocalls, and can you adjust how aggressive the filtering is?
- Can it speak your callers’ languages? If you serve Spanish-speaking customers, test the Spanish, not just the claim.
Integrations and data
- Does it log calls into your CRM automatically, with transcripts or summaries attached?
- Where are call recordings stored, who can access them, and how long are they kept?
- Can you export your data, call logs, recordings, and transcripts, if you leave?
- Does it work with your existing business number, and how hard is porting if you switch providers later?
Pricing, support, and exit
- Is billing per minute, per call, or flat rate, and what counts as a billable minute? Get this in writing.
- Are there overage charges, after-hours premiums, or per-seat fees hiding behind the headline price?
- Is there a real free trial on your own number, not just a scripted demo?
- What support do you get: chat, phone, a named contact, and what are the response times?
- What are the cancellation terms? Month-to-month, notice period, and whether your number ports out cleanly.
How to use this list
Do not just ask these on a sales call and accept the answers. Test the ones that matter most on a trial with your real number. Booking accuracy, voice quality, and escalation behavior are the three where vendors overpromise most often. Our demo questions guide gives you the specific questions that reveal the most, and our calendar booking explainer shows what good booking integration looks like under the hood.
One more honest note: no vendor passes all 25 perfectly. Score them, weight the checks that matter for your business, and pick the one that is strongest where you need it. A vendor that nails booking and routing but has weaker reporting beats a vendor with beautiful dashboards that misbooks appointments. If a vendor struggles with the basics, our call transfer explainer will help you judge whether their handoff story holds up.
