Your AI receptionist’s greeting is the first thing a caller hears, and first impressions on the phone are made in about five seconds. The good news is that the greeting is also the easiest part of the whole system to get right, because you control every word of it.

What you can actually customize

More than most buyers expect. The main greeting, the after-hours greeting, the hold message, the voicemail fallback, and the closing line are all typically configurable. Many providers also let you set the voice itself: male or female, warm or professional, fast or measured. Some let you adjust how formal the AI sounds throughout the call, not just in the opening line.

The deeper customization is behavioral. You can tell the AI how to handle specific situations in your voice: what to say when you are booked out for two weeks, how to respond to price shoppers, whether to offer a callback or take a message. This is where “brand voice” stops being a marketing phrase and becomes a set of instructions.

Writing a greeting that works

A good greeting does three things fast: names the business, sounds like a human who is glad to help, and moves the call forward. “Thanks for calling Bright Path Plumbing, this is Alex, how can I help you today?” covers it in one breath. What it does not do is recite your hours, your address, and a menu of options before the caller has said a word. Front-loading information is the fastest way to sound like a robot.

Keep it under ten seconds. Say the business name clearly, because callers who dialed the wrong number will self-correct and save everyone time. If you have a tagline or a current promotion, it can go in the greeting only if it is short. Otherwise save it for later in the call, when the AI has earned the caller’s attention.

Matching the voice to the business

A law firm and a surf shop should not sound the same on the phone, and your AI should not either. Think about how your best employee answers: the warmth, the pace, the words they choose. Write that down and give it to the AI as its personality brief. Formal businesses want crisp and courteous. Friendly local businesses want warm and conversational. Both are fine as long as the choice is deliberate.

Test the result by calling your own number and listening like a customer. Does it sound like someone you would trust with your credit card? Would you stay on the line? If anything feels off, change one thing at a time: the wording first, then the voice, then the pacing. Most providers let you update the greeting in minutes, so treat the first version as a draft.

What to avoid

Three common mistakes. First, the endless greeting that lists every service before asking what the caller needs. Second, a voice or tone that clashes with the business, like an overly casual AI answering for a funeral home. Third, setting the greeting once and never revisiting it. Your greeting should change when your business changes: new services, holiday hours, a rebrand. Review it quarterly.

The greeting is a small piece of text with an outsized effect. Get it right and callers relax into the conversation. Get it wrong and they are already reaching for the hang-up button before the AI finishes its first sentence. Pair a strong greeting with solid ongoing training and the whole system keeps improving from there.
