AI Receptionist for CPA Firms: New Client Onboarding Calls Outside Tax Season

New client enquiries at a CPA firm rarely arrive during the January rush. They come in June when a business owner has fallen out with their previous accountant, or in September when a startup founder has been told to get their books in order. Those callers are comparing firms, and the one that answers and books a discovery call usually gets the meeting. An AI receptionist keeps that door open when your partners are in client meetings and your admin staff have gone home.

What the onboarding call should gather

Ask what kind of client is calling: sole trader, limited company, partnership, or an individual with a personal return. Ask what prompted the call and what services they think they need, in their own words. Ask about deadlines in concrete terms, such as a filing date they are worried about or a payroll start date. Note whether they currently have an accountant and whether their records are with that accountant or in their own hands, because that shapes the first meeting agenda.

Keep financial detail out of the intake call. The system should not ask for income figures, bank details, or tax identification numbers. If a caller starts offering them, the script should politely move on to booking the meeting. Our piece on client intake automation for accountants and CPAs goes deeper on what intake automation should and should not collect for accounting clients.

Questions to ask a vendor

Ask how enquiries get routed when your firm has separate partners for tax, audit, and bookkeeping. A summary that lands in a shared inbox with no owner will sit there. Ask whether the system can book directly into individual calendars with buffer rules you set, and what happens when the requested partner is away. Ask how existing clients are recognised and sent to their usual contact instead of being treated as new leads. That mix-up irritates loyal clients quickly.

Pairing phone cover with your slower months

Off-season is the right time to install and tune a system like this. Call volumes are lower, your team has time to listen to sample calls, and you can fix the script before the busy months arrive. Our earlier guide to an AI receptionist for accounting firms at tax season shows what the same system faces when the phones melt down in filing season. Start with new enquiries and after-hours calls, review the summaries with the partners monthly, and adjust which services the script offers to book directly.

I write the agents that run on clinic phone lines and inboxes: the conversation engine and the booking logic behind them, plus the integrations with Pabau, Fresha and Phorest. Everything here comes out of systems we have actually shipped, not a content plan.
