AI Receptionist for Breweries and Taprooms: Tours, Events, and Private Rentals

The taproom phone rings during the Friday rush

Breweries and taprooms live a double life: a retail bar on weekends and an events and production business underneath. The phone brings tour requests, private rental inquiries, distribution questions, and the usual hours-and-directions traffic, all while your beertenders are pouring. An AI receptionist answers every call, sorts the drinkers from the buyers, and captures the event bookings that pay better than pints.

Tours, tastings, and the weekend crowd

Brewery tours are a scheduled product, and the AI should sell them like one: tour times, group size limits, pricing, and booking straight into your calendar with a text confirmation. It should know your taproom hours, whether you are family and dog friendly, food options (kitchen, food trucks, outside food allowed), and parking. Those are the questions every first-time visitor asks, and answering them well is the difference between a visit and a scroll-past.

Private rentals are the high-value stream. Companies rent taprooms for holiday parties, couples book them for rehearsals and receptions. The AI captures the date, headcount, and event type, checks your events calendar, quotes your published rental packages, and books a walkthrough or a callback with your events person. Repeat customers matter here too; mug club members and regulars calling about events deserve recognition, not a cold intake. Our guide to repeat customer recognition on the phone shows how to set that up.

Distribution and the calls that are not customers

Breweries get a stream of non-customer calls: distributors, suppliers, job seekers, salespeople. The AI should route those away from the taproom line entirely. Distribution inquiries go to your sales contact, supplier calls get a message, and job seekers get your careers page or application path. Your beertenders should never be the switchboard for the production side of the business.

Seasonal events and the calendar

Oktoberfest, anniversary parties, holiday markets, new releases: breweries run on an event calendar, and each event changes what callers ask. The AI should know the current event lineup, ticket details, and any private closures. Load the season’s events before they start, and set holiday hours explicitly, since taproom holidays rarely match office holidays. The holiday and after-hours script guide covers scripting the seasonal peaks.

What to ask a vendor

Can it book tours into your calendar with group-size rules? Can it check the events calendar for private rental conflicts? Can it separate taproom questions from distribution and operations calls and route each correctly? Can you update the tap list, events, and hours yourself without a support ticket? And what does it do after close, when the weekend inquiries come in? Demo it as a company planning a holiday party for eighty people with catering questions. The intake quality is the product.

Keep the humans where they earn

Your beertenders sell beer and atmosphere. Your events person closes rentals. The AI keeps both of them out of phone duty by answering the repeat questions, booking the tours, and capturing the rental inquiries with their details intact. Train it on your real FAQs with the FAQ training guide, test the oddball questions yourself, and let the taproom stay a taproom.

I write the agents that run on clinic phone lines and inboxes: the conversation engine and the booking logic behind them, plus the integrations with Pabau, Fresha and Phorest. Everything here comes out of systems we have actually shipped, not a content plan.
