Routing by the Clock: Schedules, Holidays, and After-Hours Rules That Match Your Week

Call routing demos usually happen at 2 p.m. on a Tuesday. Your callers do not cooperate with that schedule. They call at 7 a.m. before work, at lunch, on Sunday night, and on the holiday your office forgot to plan for. Time based routing, the rules that change by hour, day, and date, is where an AI receptionist setup either matches your real week or quietly works against it.

What a schedule based setup looks like

At its simplest, you define open hours. During those hours, certain calls transfer to your team first and fall back to the AI if nobody picks up. Outside those hours, the AI answers immediately, books what it can, and holds routine matters for the morning.

Useful systems let you stack exceptions on top of that base schedule: holidays, a half day for training, a seasonal rush period, an on call rotation that changes weekly. Each exception needs a start and an end, so last December’s holiday greeting does not resurface in March. Ask whether schedules are set per location if you run more than one, because a single shared schedule breaks as soon as two sites keep different hours.

Questions that reveal weak scheduling

Ask how daylight saving changes are handled, and whether you set times in your local time zone without doing offset math. Ask what a caller hears at the exact boundary, one minute before close and one minute after. Boundary behavior sounds minor until a caller gets transferred to an empty office at 5:01 p.m.

Ask who can edit the schedule and how fast a change takes effect. Storm closures and staff sickness happen with an hour of warning. If schedule edits need a support ticket, that hour matters. Our guide to call routing rules and fallback chains covers what happens when the first destination does not answer, which pairs directly with the time rules here.

A practical way to build yours

Write your week on paper first: open hours, lunch coverage, after hours, weekends, holidays. Mark which call types may transfer to a mobile after hours (genuine emergencies, existing clients with urgent issues) and which should always be booked or messaged instead. Then build exactly that, and test it by calling at four times: mid morning, lunch, just after close, and a weekend morning.

Businesses with several departments should also read the companion piece on routing rules for multi department businesses, since department hours often differ even inside one building. Set a calendar reminder to review the schedule each quarter. Hours drift. Your routing should not drift with them unnoticed.

I write the agents that run on clinic phone lines and inboxes: the conversation engine and the booking logic behind them, plus the integrations with Pabau, Fresha and Phorest. Everything here comes out of systems we have actually shipped, not a content plan.
