AI Receptionist for Accounting Firms: Handling Client Document and Portal Calls
Call a CPA firm in February and listen to the questions. A large share are not about tax law. Clients ask what documents to bring, where the upload link went, whether a form arrived, and what a letter from the firm means. Staff answer the same questions all day while deadline work waits. An AI receptionist can take those routine calls if it has your document checklist and a firm rule about where its answers stop.
Build answers from your own checklist
Give the system the exact document lists your firm sends by client type: individual return, business return, payroll onboarding, and so on. When a client asks what to send, it reads from that list and offers to resend the upload link by text or email. When a client asks whether a document arrived, it should check whatever status your portal or practice system exposes, or take a message for staff if no check is possible. Guessing about receipt is the one error that destroys trust in the whole setup.
The advice boundary needs to be explicit. Questions about whether a document is needed for a specific situation belong to the accountant. The system can say a staff member will confirm, and log the question with the client’s name and deadline if they mention one. The intake side of this is covered in client intake automation for accountants and CPAs.
Use call data to fix the process behind the calls
After a month, look at which documents clients most often call about. Those calls usually point to an unclear letter or a checklist that buries one item. Fix the letter and the calls drop, which helps clients more than a faster answer would. The seasonal view in tax season call handling for accounting firms shows where these document calls spike and why they crowd out deadline work.
What to verify in a trial
Call as a client who lost the upload link, a client asking about a document not on any checklist, and a client whose question slides into tax advice. Check that the first call ends resolved, the second becomes a clean staff message, and the third gets a polite boundary and a callback. Those three calls cover most of what your clients will actually do.
