The question every clinic asks

“Do you take my insurance?” is one of the most common questions a clinic phone line gets, and one of the hardest to answer well. The caller does not know their plan details. The person answering cannot verify coverage on the spot. The honest answer is almost always “it depends,” which satisfies nobody.

So what can an AI phone agent actually do with insurance questions? More than you might expect, and less than the sales decks imply.

What AI handles well

Collection. The AI can ask for the insurance carrier, member ID, and group number, and record it accurately into your system. Spelling out a member ID over the phone is error-prone for humans; a voice agent trained on this task transcribes it reliably and reads it back for confirmation. That alone saves your front desk the most tedious part of the verification workflow.

Standard answers. Most insurance questions have standard answers your practice already gives: which plans you are in-network with, what self-pay rates look like, what happens if a plan is out of network, how copays are collected. The AI delivers these consistently, every time, without the variation you get from different staff members on different days.

Flagging. When the answer requires judgment, like whether a specific procedure is covered under a specific plan, the AI should flag the case for your billing team instead of guessing. This is the line that matters: collect and route, never promise.

What AI should never do

It should never tell a patient their visit is covered. Coverage verification depends on the payer, the plan, and the procedure, and getting it wrong creates the worst kind of surprise: a patient who arrives believing they owe nothing. The correct line is always some version of “we’ll verify your benefits before your visit and let you know.”

It should also never improvise on billing policy. If your practice has a written policy for self-pay patients, out-of-network patients, and payment plans, the AI follows the written policy. If the policy is not written down, writing it is step one of your AI project, not an afterthought.

How to set it up right

Give the agent your in-network plan list, your self-pay rates, and your verification workflow. Define exactly what gets collected on the call, where it goes, and who verifies it before the visit. Then test it with the scenarios your front desk hears weekly: the patient who only knows the carrier name, the patient with a new card, the patient asking whether a specific treatment is covered.

The payoff is in the morning. Instead of your front desk spending the first hour calling patients for insurance details, they arrive to a list of complete, verified-ready records. That is the real win of AI on insurance calls: not answering the unanswerable, but removing the collection work that eats every morning.
